Office Administrator & Bookkeeper

The Office Administrator and Bookkeeper will provide a high level of administrative support to the principals and project team at McIntosh Poris. We are seeking qualified, energetic, trustworthy, analytical candidates to represent the firm professionally on a daily basis, communicate effectively with our team, clients, and consultants, and provide strong, rigorous reliability for accounting and administrative tasks.
Responsibilities include, but are not limited to:
• Conduct reconciliation of all accounts on an as-needed basis
• Maintain and balance the general ledger in an accurate, complete, and up-to-date manner
• Perform all activities related to the accounts payable, receivable, payroll, and general ledger
including processing payments and reporting
• Perform account receivable functions including invoicing, deposits, collections, and revenue
recognition
• Perform payroll functions in an accurate and timely manner, and submit payroll taxes
• Prepare financial reports through collection, analysis, and summarization of data
• Coordinate with MPA’s accounting firm, tax credit consultants, insurance companies, etc.
• Monitor and reconcile office operations and account expenditures
• Work with Principals and Project Managers for project reconciliations, time entries, business
expenses, project reporting, and billing
• Other duties as assigned
Qualifications/Requirements:
• High degree of accuracy and attention to detail
• Excellent verbal and written communication skills
• Ability to prioritize and organize multiple tasks
• Professional degree in Accounting, Finance, or related field preferred
• 5 years minimum of relevant experience working in accounting or bookkeeping role,
preferably in an architecture, design, professional service, or construction firm
• Proficient and experienced in QuickBooks Desktop or Online and the Microsoft Office Suite
of products
• Demonstrated ability and willingness to learn new applications, implement best practices
and work independently
Compensation: Commensurate with experience
